Refund and Transfer Policy

 

REGISTRATION FEE REFUND OR TRANSFER POLICY

SCOPE

This Policy covers the refund or transfer of player registration fees under the jurisdiction of the Cumberland United Soccer Club (CUSC). Information concerning registration fees, late fee penalties, and start of programs can be found on the player registration forms.

1.0 INTRODUCTION

1.1 All individuals playing shall pay the required registration fee.

1.2 Any player wishing to terminate or transfer their registration, before or during the same soccer season, is required to inform the CUSC and seek a refund when applicable.

2.0 TERMINATION OF MEMBERSHIP

2.1 Voluntary termination of membership

a. If the refund request is made before May 1 for the summer outdoor program, or at least two (2) weeks before the start of the indoor program, the terminating player will receive a refund of his/her registration fee, less an administration fee.

b. If the refund request is made after May 1 for the summer outdoor program, or the two (2) week period before the start of the indoor program, the terminating player will receive a refund of his/her registration fee, less an administration fee, less a further amount based on the prorated number of games which have passed in the soccer program. This formula only applies if there is a player available on the waiting list. Otherwise the terminating player will not receive a refund unless, and until, he or she can be replaced. 

Note 1: Players trying out for a competitive team, but not selected, will automatically be included on a development team and must comply with the above mentioned refund timelines.

Note 2: Any player who has accepted a position in any of our competitive programs (regular or academy) and subsequently withdraws will not qualify for a refund under this subsection.

2.2 Termination of Membership for Medical Reason

a. If the refund request is made before the start of the program, the terminating player will receive a refund of his/her registration fee, less an administration fee.

b. If the refund request is made after the start of the program, the terminating player will receive a refund of his/her registration fee, less an administration fee, less a further amount based on the prorated number of games which have passed in the soccer program. 

Note: Proof of medical condition may be required.

2.3 Termination of Membership Because of Work Transfer, Residential Change and Family Status

a. If the refund request is made before the start of the program, the terminating player will receive a refund of his/her registration, less an administration fee.

b. If the refund request is made after start of the program, the terminating player will receive a refund of his/her registration fee, less an administration fee, less a further amount based on the prorated number of games which have passed in the soccer program. 

Note 1: Proof of work transfer, new address or changes to the status of the family including the child’s new address may be required.

Note 2: Any player who has accepted a position in any of our competitive programs (regular or academy) and subsequently withdraws will not qualify for a refund under this subsection. 

2.4 Program Cancellation or Modification

A program may be cancelled by the CUSC due to low registrations or field availability, modified from a boys’ or girls’ program to mixed program, revised to include other age groups, or the days of play may be changed from those advertised. In all of these cases, refunds will be made in full.

Note: Any player who has accepted a position in any of our competitive programs (regular or academy) and subsequently withdraws will not qualify for a refund under this subsection.

3.0 TRANSFER OF REGISTRATION FEE

3.1 Transferring Registration Fee

a. If the transfer request is made before the start of the program, the transferring player will be granted a transferred amount equal to the amount of the original registration fee, less an administration fee if applicable.

b. If the transfer request is made after start of the program, the transferring player will be refunded an amount pro-rated based on the use of the original program, and the player shall first pay in full the amount required for the new program and apply for a pro-rated refund based on the number of sessions/games missed in the receiving program, less an administration fee if applicable. 

4.0 WHO CAN MAKE THE REQUEST?

4.1 The registered player, if over 18, or the parent or guardian of the registered player.

5.0 PROCEDURE

5.1 A request for a refund of the registration fee must be made in writing to the CUSC Administrator. This request can be sent by e-mail or regular mail. All supporting documentation must be included. The refunded amount will be pro-rated on date of the CUSC receives the request.   

5.2 If satisfied the conditions are met, the CUSC Administrator shall request the CUSC Treasurer to issue a cheque for the determined amount.  

5.3 The CUSC Administrator shall inform the League Director of change to the team roster if applicable.

5.4 If available, the Convenor shall assign the first eligible player from the waiting list.

5.5 The uniform cost for U5 to U9 will be refunded if the uniform is returned and was not worn.

5.6 The Volunteer fee will be included with the amount refunded.

5.7 A player/parent/guardian who believes they have extenuating circumstances deserving consideration for a refund or transfer which do not meet the above criteria must provide, in writing, the rational and address it to the Vice President.

6.0 DEFINITIONS

6.1 Work Transfer: Move from the present address to one where it is not reasonable to expect the player to commute. This usually involves a transfer to another city or area of the country. This can also apply when the transfer in to the CUSC area is cancelled or delayed.

6.2 Residential Change: Move from one primary residence to another where it is not reasonable to expect the player to commute.

6.3 Family Status: Change to the family nucleus which has a negative impact on the family’s financial obligations. This can include the separation or divorce of a player, or parents or guardians of the player.
